This policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us.

Information We May Collect from You

We may collect and process the following data about you:

  • Information that you provide by filling in forms on our website or via our software platform. This includes information provided when completing an enquiry form, submitting material or content in any form (creating, submitting, posting, displaying, transmitting, publishing, distributing, broadcasting) or requesting further services.
  • We may also collect via our website information about your computer and about your visits to and use of this website including; your IP address, geographical location, browser type and version, operating system, referral source, length of visit, page views and website navigation paths; information that you post to our website for publication on the internet including your user name, your profile pictures and the content of your posts.
  • If you contact us, we may keep a record of that correspondence together with your name, email address and phone number.
  • We may also ask you to complete surveys that we use for research purposes, although you do not have to respond to them.
  • During our registration process we may need to collect personal and sensitive data in order to provide accurate recommendations and articles from our software platform. Without this data content delivered via our software platform may be less relevant to you.
  • Any information collected by any medium is retained it in line with our data retention register.
  • We may allow the submission of user created content. Before submitting any content you should review the requirements for submitting content in Section 8 of the Work&Life Partners Terms and Conditions (available to review before subscribing to the platform).

What We Do with the Information We Collect

We use information held about you in the following ways:

  • To ensure that content from our site is presented in the most effective manner for you and for your computer.
  • To provide you with information and services that you request from us or which we feel may interest you, or articles that are relevant to interests you have specified.
  • To carry out our obligations arising from any contracts entered between you and us.
  • To notify you about changes to our products or services.
  • To improve our products and services.

With your permission we may also use your data to provide you with information about goods and services which may be of interest to you, and we may contact you about these by email, post or telephone.

We do not provide or sell your data to any third party, and we will only share your data in accordance with this Privacy Notice and in order to provide services to which you are subscribed such as our Expert Advice Line.

Where We Store Your Personal Data

Once we have received your information, we will use strict procedures and security measures to prevent unauthorized access.

All information you provide to us through the website or our software platform is stored in secure datacentres located in the UK South Datacentre region. The data is encrypted both in transit and at rest, ensuring the highest level of data security consistent with current technology and industry standards.

If you would like to be removed from our systems and service, please contact our support team. If you request to be removed during an active subscription, this will result in a loss of services for which no refunds will be due.

Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, or third-party site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone. We will never ask you to provide your login credentials to us.

If you provide us with information via our website, you acknowledge that the transmission of information over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet. However, we are committed to using our best efforts to ensure the security of your data.

How long we retain your data

We only retain data for as long as necessary to fulfil the purposes we collected it for. Our data retention register details each piece of data we hold, the duration and the purpose for satisfying any legal, accounting, or reporting requirements. Our retention periods become active when you (or your employer) notify us you are no longer engaged in services with us. If you unsubscribe from any of our services, your identifiable data will be erased from our systems within 90 working days of the notification you are no longer an active subscriber as an organisation or employee of a subscribing organisation, unless we are required to preserve the data for legal reasons.

We reserve the right to preserve anonymised data collected during your subscription for the purposes of historical reporting. None of the preserved data can be used to personally identify an organisation or an employee of any organisation. It is limited to an Organisation Business Sector and the type and number of services procured through the platform.

Your legal right

As an individual you have rights and can determine how your data is used. Your GDPR rights are the right to:

  1. be informed - how we collect, store and process your data
  2. access – how its collected, processed, stored and what data exists and for what purpose
  3. correction – to have incorrect or incomplete data corrected
  4. erasure – to have personal data permanently deleted
  5. restriction of processing – block or suppress personal data being used or processed.
  6. data portability – move, copy, or transfer personal data
  7. object to processing – object to data being processed without explicit consent
  8. not be subject to automated decision making – demand human intervention as opposed to decisions made solely by algorithm

As noted, you have the legal right to ask the right to erasure (right to be forgotten) and can do so at any time by contacting us, however please note if you do, we will no longer be able to provide services to you.

This policy was last updated on the 22 May 2023. Any changes we may make to our privacy policy in the future will be posted on this page and, where appropriate, notified to you by e-mail.
